Welcome to Erasmus Student Network VUT Brno, z. s. ("we," "us," "our"). By participating in our events and purchasing tickets, you agree to the following Terms and Conditions. Please read them carefully.
Article 1. Applicability
1.1. These Terms and Conditions apply to access and participation in all events, activities, and manifestations organized by Erasmus Student Network VUT Brno, z.s.
1.2. ESN VUT Brno includes members of the Board and other authorized members.
1.3. "Event" refers to any event, activity, or manifestation organized by ESN VUT Brno for participants.
1.4. A "Participant" is anyone who participates in, attends or is present at an event organized by ESN VUT Brno.
Article 2. Event Registration, Access, and Ticket Purchase
2.1. Registration Process
Event registration is available through links shared on our social media channels, in email communication, or on our website. These links will direct you to a registration form where you can select the services or tickets you wish to purchase.
After submitting the form, you will receive a confirmation email with a summary of your responses. Please note that this submission serves only as a reservation. Your spot is confirmed only after payment is completed in accordance with Article 2, subsection 2.
2.2. Payment
Event payments can be made in one of two ways:
- Online payment via Comgate a.s., using the secure payment link provided in your confirmation email.
- Online payment via Comgate a.s., using the the order form on our website
- In-person payment at Panda Point during our official opening hours.
The available payment option depends on the event type. The method will be communicated via email. Completing your payment confirms that the information you have provided is accurate and that you agree to these Terms and Conditions.
When using the email payment link, you will be redirected to the Comgate payment gateway, where you can choose from the available payment methods listed in Article 2, subsection 4. You will be asked to provide the necessary payment details (e.g., card number, bank account information, etc.) to complete the transaction.
2.3. Payment Service Provider
Online payments are processed by Comgate a.s., a licensed payment institution supervised by the Czech National Bank. All transactions through the Comgate gateway are fully encrypted and secure.

2.4. Refund Policy
We refund money for sold tickets no later than 3 days before the start of the event during the Opening Hours of the Panda Point.
If you cannot attend the event and request a refund, please contact us directly at treasurer@esnvutbrno.cz as soon as possible. Cash refunds are preferred and will be arranged at our Panda Point office during Open Hours.
While cash refunds are preferred, you may request a refund through Comgate a.s. Please be aware that processing times may vary, and certain transaction fees may apply, affecting the refund amount. We also prefer direct resolution.
The refund amount depends on the type of event and whether funds have already been used for pre-booked services. Our organization reserves the right to determine the refund amount after a discussion between the Event Leader and Treasurer, based on these factors.
Requests made after the 3-day deadline are not eligible for a refund, unless individually agreed otherwise.
2.5. Access to Events
Event access is limited by the venue’s capacity. ESN VUT Brno reserves the right to close registration once the maximum number of participants is reached.
Participants must present a valid ticket upon request by ESN VUT Brno organizers or event security.
Article 3. Participation Obligations
3.1. Participants are prohibited from bringing glass, cans, fireworks, weapons, dangerous items, drugs, and/or alcoholic drinks to an event unless explicitly stated otherwise by ESN VUT Brno.
3.2. Participants must comply with directions and regulations from ESN VUT Brno, event organizers, security, fire personnel, or any other authority. Non-compliance, endangerment, intoxication, threats, or violence may result in expulsion from the event or a ban from future events, based on the Board's decision.
3.3. Participants must consent to a body search by security guards if requested.
3.4. Participants must obey smoking bans during events.
3.5. Participants must provide personal identification if requested by authorized persons, including verification of age for alcohol consumption in accordance with Czech law.
3.6. Promotional or commercial activities at events are not permitted without explicit consent from ESN VUT Brno, except for activities on participants' personal social media.
Article 4. Event Changes, Cancellations
4.1. Event Changes: ESN VUT Brno reserves the right to change event details, including date, time, and location. Participants will be notified as soon as possible via the email provided during registration.
4.2. Event Cancellations: If an event is cancelled due to circumstances beyond our control (including but not limited to supplier issues, strikes, fires, extreme weather, or governmental instructions), ESN VUT Brno reserves the right to reschedule or cancel the event. In such cases, refunds will be issued during the Opening Hours of the Panda Point no later than four Opening Hours days after the original event date unless stated otherwise.
Article 5. Liability and Damage
5.1. ESN VUT Brno is liable only for direct damages to a participant if it is directly and exclusively caused by an issue that could have been prevented by ESN VUT Brno. Reimbursement will occur only if the damage is covered by ESN VUT Brno’s insurance.
5.2. Participants are liable for any damage they cause to other visitors, employees, ESN VUT Brno property, or third-party property, including event locations and accessories. Participants will indemnify ESN VUT Brno from any claims related to damages they cause.
5.3. ESN VUT Brno is not liable for any physical, material or financial damages to participants caused by participation in an ESN VUT Brno event, including but not limited to consequential damages, lost profits, theft, property damage, and damages due to mechanical failures, natural disasters, or other unforeseen circumstances. Participation in all events is at the participant’s own risk.
Article 6. Intellectual Property and Copyrights
6.1. ESN VUT Brno is permitted to take photos and/or videos of events for promotional purposes. By attending, participants give ESN VUT Brno permission to record and publish such materials.
6.2. ESN VUT Brno holds the copyright to all photos and/or videos taken during events. These images are marked with an ESN AISBL-approved watermark and cannot be altered without ESN VUT Brno’s approval.
6.3. Participants may request the removal of photos or videos featuring them by emailing president@esnvutbrno.cz.
Article 7. GDPR
7.1. ESN VUT Brno processes participants’ personal data solely for the purposes of event organization, communication, and payment processing in accordance with Regulation (EU) 2016/679 (GDPR).
7.2. Personal data are not shared with third parties except payment providers (Comgate) as required for processing payments.
7.3. Participants may request access, correction, or deletion of their personal data by emailing president@esnvutbrno.cz.
Article 8. Final Provisions
8.1. All disputes between ESN VUT Brno and participants arising from or related to ESN VUT Brno events will be settled according to the legislation of the Czech Republic.
8.2. These Terms and Conditions were adopted by the ESN VUT Brno Board.
